2023 - 2024  SHPE Houston Professional Nominations

We will be contacting the eligible nominees within the week of closure. To be eligible to run for any position, you must be a paid member. To be eligible to run for President, Vice President - Internal, Vice President - External, Secretary, and Treasurer, you must have past SHPE board experience.

President
​
Subject to the control of the Board, the President shall be the chief executive officer of the Corporation/Chapter and shall have general supervision, direction and control over the affairs and property of the Corporation and over its several officers, and shall have such other powers and perform such other duties, as may be delegated by the Board from time to time. In the absence of the President, the Vice President shall perform the duties of the President.
  • Represent the chapter by maintaining communication with the Regional Vice President and National Office
  • Increase awareness and support for SHPE and its mission within their local community to achieve closer personal acquaintance and a spirit of cooperation among Hispanics with technical careers
  • Be the point of contact for the organizational and financial matters of the chapter, as well as all other business concerning the chapter according to policies and guidelines set and approved by the chapter
  • Chair and preside at chapter board, general, and special meetings
  •  Be one of the two people (the other being the chapter Treasurer) responsible to sign any documents related to financial matters
  • Ensure that chapter members have paid their membership and are receiving benefits from SHPE National, and are aware of programs and events throughout the year
  • Provide current information for the chapter to the National Office, including bylaws and contact information, as well as verify information for each of the chapter's members
  • Establish support for national and regional initiatives within the chapter to help achieve SHPE's mission
  • Be part of the Regional Council along with the RVP, RSR and other representatives in the region
  • Work with local student and SHPE Jr. chapter presidents to foster a strong relationship between professional and student members
  • Establish important partnerships with local corporate sponsors and community organizations in matters of common interest
  • Encourage members to confer and to make suggestions with respect to matters of policy
  • Study local problems affecting Hispanic engineers, scientists and technical educators
Vice President - Internal​
​
The First Vice President shall assist the President in all business concerning the Chapter and shall act as President Pro-tem in the absence of the President. Oversee internal operations, following up and supporting executive board and coordinators with their role when needed as well as check in their progress offering tips/advice when applicable. Assist in creating and developing chapter and each officer's goal and being a supporting factor to achieve such goals. In charge of the National Chapter Reports that are submitted twice a year (at a minimum) to report chapter metrics and results.
Vice President - External
The Second Vice President to be elected by all regular members and to succeed the First Vice President in the absence of the President, and the First Vice President. Overseeing external operations, maintaining relationships outside of the organization (current and potential sponsors) to expand event turnouts partnering with other organizations or companies and reciprocate the support to provide resources to our members and chapter. Lead initiatives that build and execute brand, strengthen marketing and communications, foster strategic partnerships, and expand relationships with sponsors, industry leaders, and other influencers and partnerships.
Treasurer 
The Treasurer shall keep and maintain, or cause to be kept and maintained, adequate and correct accounts of the properties and business transactions of the Corporation, including, without limitation, accounts of its assets, liabilities, receipts and disbursements, and shall send or cause to be sent to the Directors of the Corporation such financial statements and reports as are by law or these Bylaws required to be sent to them. The Treasurer shall deposit, or cause to be deposited, all monies and other valuables in the name and to the credit of the Corporation with such depositories as may be designated by the Board. The Treasurer shall disburse the funds of the Corporation as may be ordered by the Board; shall render to the President or the Directors, whenever requested, an account of all transactions and of the financial condition of the Corporation; and shall have such other powers and perform such other duties as may be delegated by the Board.

  • Provide Quarterly financial updates to board members
  • Provide Bi-annual “Financial State of the Chapter” updates during general meetings
  • Create a Quarterly financial short-summary for official records and board meetings
  • Maintain/Manage the board approved, yearly, budget
  • Send yearly electronic submission regarding chapter 501(3)c status
  • Communicate chapter tax exempt number to board members and ensure it is properly used
  • Manage a list of vendors who accept tax exemption purchases
  • Create a standard SHPE-Houston corporate package (hard & soft copy)
Secretary 
The Secretary shall be the custodian of the seal of the corporation and the books and records and files thereof, and shall affix the seal of the Corporation to all papers and instruments requiring the same. The Secretary shall keep or cause to be kept, at the principal office or such other place as the Board may order, a minute book of all meetings of the Board and its committees. The Secretary shall also keep, or cause to be kept, at the principal office in the State of Texas, the original or a copy of the Articles of Incorporation and Bylaws of the Corporation, as amended to date. The Secretary shall give, or cause to be given, notice of all meetings of the Board and any committees thereof required by these Bylaws or by law to be given, and shall have such other powers and perform such other duties as may be delegated by the Board. 
  • Increase awareness and support for SHPE and its mission within their local community to achieve closer personal acquaintance and a spirit of cooperation among Hispanics with technical careers
  • Provide current information for the chapter to the National Office, including bylaws and contact information, as well as verify information for each of the chapter's members
  • Record all board meeting minutes
  • Record all general meeting minutes
  • Send/Post meeting minutes within one week of meeting
  • Create an official minute book
  • Assist with corporate packet preparation
  • Submit magazine article commitment, for national magazine, for SHPE-Houston
  • Coordinate submission of magazine article, for national magazine, for SHPE-Houston
  • Create/Save on FTP a CFF for general meeting
Webmaster
  • Update chapter website with event information, member spotlight, etc. 
  • Continue to expand website content for members and the community at large (K-12, Undergraduates, etc.) 
  • Provide recommendations to officers regarding technology and IT solutions consistent with the level of operation by SHPE Houston 
Coordinator of Student Affairs 
  • Increase awareness and support for SHPE and its mission within their local community to achieve closer personal acquaintance and a spirit of cooperation among Hispanics with technical careers
  • Work with local student and SHPE Jr. chapter presidents to foster a strong relationship between professional and student members
  • Attend one student chapter general meeting per quarter with SHPE-UH & SHPE-RICE
  • Maintain open communication & dialogue with student chapters
  • Increase SHPE-Houston Professional Chapter awareness with all Region V student chapters (i.e. UT, A&M, LSU, UH, Rice, OU, etc)
  • Attend several outreach projects directly benefiting student chapters
  • Solicit volunteers for co-sponsored student events
  • Coordinate the yearly Ese Cup volleyball event with student chapters
  • ​Work to increase SHPE-Houston visibility on-campus
Coordinator of Professional Development​
​
Professional development plans, coordinates, and executes workshops, meetings, seminars, panels, and mentorship lessons for our members to advance in their career. Topics such as negotiations, networking resume building, financial advancement, retirement planning, are a few examples of what topics are offered. Professional development focuses on providing opportunities to improve their confidence, enhance hiring potential, develop hard/soft skills, increase job opportunities, and expand ones network.
Coordinator of Membership/Socials
  •  Increase awareness and support for SHPE and its mission within their local community to achieve closer personal acquaintance and a spirit of cooperation among Hispanics with technical careers
  • Ensure that chapter members have paid their membership and are receiving benefits from SHPE National, and are aware of programs and events throughout the year​
  • Increase awareness and support for SHPE and its mission within their local community to achieve closer personal acquaintance and a spirit of cooperation among Hispanics with technical careers
  • Coordinate one social event per month for chapter members (evenly distributed among membership residence/work-location)
  • Ensure social events are photographed and pictures are saved on the FTP site
  • Arrange to have a laptop computer at all general meetings to allow members to directly apply for membership or sign-up for our email distribution
  • Organize one membership drive per year; ensure appropriate funds are budgeted for this event
  • Create/Distribute/Summarize a membership survey every year to stay abreast of membership general concerns and interests
  • Track member participation
  • Increase chapter lifetime memberships
  • Create/Distribute chapter membership awards, annually
  • ​Recognize members for outstanding participation
Coordinator of Community Outreach
  • Increase awareness and support for SHPE and its mission within their local community to achieve closer personal acquaintance and a spirit of cooperation among Hispanics with technical career
  • Coordinate all outreach programs by acting as point contact for the chapter
  • Publicize all outreach events and solicit for volunteers
  • Ensure a point contact is identified for each project if the Coordinator is unable to attend the Event
  • Add outreach events to the calendar with basic event details:
  • Introduce one new outreach activity per year
  • Represent the chapter in a professional manner when coordinating events:​
Coordinator of Marketing & Promotions
  • Increase awareness and support for SHPE and its mission within their local community to achieve closer personal acquaintance and a spirit of cooperation among Hispanics with technical careers
  • Brand every special event
  • Create marketing packet for SHPE-Houston
  • Create chapter brochure in cooperation with Membership Coordinator
  • Create all signage for all SHPE-Houston events
  • Create general meeting signage directing members to the appropriate meeting rooms
  • Identify new ways to promote and market SHPE-Houston
  • Attempt to secure free advertising spots available for 501(3)c Non-profit organizations
  • Utilize Hess printing sponsorship
  • ​Create a “Look & Feel” for the chapter
  • Create official chapter letterhead (word doc), presentation material (PowerPoint slide master), and return address mailing labels
  • Responsible for updating chapter Facebook Group
Coordinator of Scholarships
  • Increase awareness and support for SHPE and its mission within their local community to achieve closer personal acquaintance and a spirit of cooperation among Hispanics with technical careers
  • Review/Optimize the scholarship application prior to publishing
  • Review/Edit/Update the grading criteria to be used for evaluating the scholarship applications
  • Create/Maintain an active email distribution list by working with the Webmaster (the list will be used to broadcast/promote the scholarship
  • Increase the amount of applications received by 10%
  • Organize a scholarship committee to review the grading criteria and grade the scholarship applications
  • Dictate and adhere to a scholarship timeline (i.e. posting application, grading time, announcement of winners).
  • ​Ensure proper funds are allocated to fund the annual scholarship(s)
  • Work with the Marketing & Promotions Coordinator to create marketing material (hardcopy/digital) to be used to promote the scholarship - distribution of hardcopies will be during the HHF-Career & Education Day event
  • ​Responsible for updating chapter Face book Group with scholarship updates
  • Create scholarship certificates.
  • Organize/Schedule a award ceremony for the scholarship recipients
  • Confirm scholarship winners are enrolled in school prior to requesting the distribution of funds
  • Represent the SHPE-Houston chapter when communicating with external schools and organizations to promote the scholarship
  • Be the point contact regarding questions from students when filling out the application
Coordinator of Special Projects
  • Responsible for the planning and execution of the Order of the Engineer ceremonies twice a year (one in the Fall semester, one in the Spring semester) 
  • Responsible for the planning and execution of the Annual ESE Cup Volleyball competition among the student chapters and SHPE Houston professionals
  • Collaborate with other officers to promote events as well as help (when needed or if applicable)
  • Coordinate any other type of social/networking/professional event that aligns with the chapter values​
Coordinator of SHPE Jr.
  • Develop SHPE Houston's framework and strategy of SHPE Jr Initiaitves in Houston per SHPE National Guidelines. 
  • Liaison  between SHPE National/SHPE Regional Jr. Initiatives and our SHPE Houston Chapter
  • Liaison between SHPE Houston and Local SHPE Jr Chapters including those currently under SHPE Houston
  • Support local SHPE Jr Chapters by providing information on the latest SHPE Jr Initiatives and Opportunities at the regional and national level.
